Flex Rates give you the very best available price for the motorhome you
want to rent. If you book early and there are plenty of motorhomes available,
you will pay a much lower price. If you book closer to departure date or
book for a high demand period then the rate will be higher. Please see further details on Flex Rates below

Colorado Road Safety Fee:
USD $5.63 per night (max USD $156.90 per booking) applies to all Denver Pick ups.
This fee is tax exempt.
New Jersey Security Fee:
USD $5 per day (max USD $140) applies to all NYC Pick ups.
This fee is tax exempt.

Pre-payment of
minimum mileage needed between PU & DO location is required for
all one-ways.
No refund for unused mileage.
Flex Rates:
Road Bear Nightly Rental Rates are know as 'Flex Rates' . These give you the very best available price for the motorhome you want to rent.
Flex levels are based on our fleet capacity and availability according to the unit size and location. For instance, the more units available for a particular size or
location the lower will be the Flex level, which creates incentive to book early much like an Early Bird Special.
If you book closer to departure date or book for a high demand period then the rate will be higher. This is a similar system to that used by airlines.
Inclusive Package Rate:
USD $105 per night.

Peace of Mind Package:
Included in the Gold Package
Includes:
- Emergency jump start
- Fuel delivery service (up to 5 gallons / 20 litres) - not applicable for fuel deliveries to BM,
- Emergency towing (first 30 miles),
- Flat tire change using spare (includes cost of up to 2 tires)
- Windshield Protection (limit of 1 windshield per trip or up to 3 stone chip repairs.)

Drop & Go:
USD $125 per booking (not available for Burning Man bookings)
Includes:
- final empty of waste tanks at return,
- basic interior (all kitchenware needs to be cleaned by guest) and
exterior cleaning (up to 1 hour each),
- bagged garbage disposal (up to 1x 30 litre sized trash bag) & recycling.
*This service includes an exterior wash and interior cleaning for vehicles with normal usage. However, if the
vehicle is excessively dirty either inside or outside, additional charges will apply to cover the extra cleaning
required. Guests are still required to check in with a staff member when dropping off the vehicle to ensure a
Vehicle Inspection is completed and any outstanding charges are covered.
Taxes and Governmental Fees:
Our prices are excluding tax. Taxes are due on all prepaid and local
charges. Tax rates vary by location and are subject to change without
notice.
For prepaid charges, Partners may select between two options:
"Variable tax rate" and "Flat Tax Rate" which allows for a simple, flat 11%
across all prepaid charges. Please note - Partners are not able to switch
between the two options. Once selected the option is set for the full
travel year.

Drivers Licence and Age:
Renter (this must also be the named major credit card holder) and all
authorized drivers must be at least 21 years of age and in possession of a
valid driver’s license. Renter and all authorized drivers must be present
during pick-up of the rental vehicle and sign the rental agreement. All
authorized drivers must be listed on the rental agreement.
We recommend
the guest has an international driver’s license (photocopies not accepted)
along with the original license if the license is in any language other than
English.
We require a physical driver’s license to be presented at pick up, we do not
accept digital driver licenses.

Unlimited Tolls - Nightly Rates:
A convenient product charged at a nightly rate ensuring transparent toll pricing. Guests will pay a
nightly rate and will be covered for unlimited toll charges during their journey.

Travel Restrictions:
Road Bear RV will hold the guest responsible for violating the
following restrictions including accidents, mechanical breakdowns and
thefts occurring in a travel restricted area.

Mexico: Traveling into Mexico is not permitted.

Death Valley: Traveling into Death Valley is not permitted between 01 June and 30 September
-
Alaska: Travel within Alaska, Yukon and Northwest Territories permitted as long as
Road Bear RV has been advised at time of the booking at Guests’s own
risk, there is no reimbursement for repairs or lost use.

Ontario / Quebec: Due to the regular incidence of theft, motorhomes are not allowed to be left
unattended within the cities of Montreal, Ottawa and Quebec City. We
recommend leaving the motorhome parked at a campground and using taxi
or public transportation. Guests planning on traveling in these areas must
inform the rental branch prior to departure.

Others: Traveling on any non-public, gravel, dirt or logging roads and other nonpublic roads, beaches, etc. and in the Inner city of New York is not
permitted.
ROAD BEAR RV will hold the customer responsible for disregarding these restrictions including accidents, mechanical breakdowns and thefts occurring in a travel restricted area!
Security Deposit:
A USD $1,500 security deposit is required at the time of pick-up and will be
authorized on the credit card. We require that the deposit be guaranteed by a
major non-debit credit card such as Visa, MasterCard or American Express with
sufficient credit balance to cover this amount.
We do not accept ATM/debit cards such as Check Cards, Visa debit
cards or pre-paid credit cards. We do not accept Cash or Traveler’s
Checks, Stored Value / Pre-paid cards or gift cards.
The security deposit
is not charged on the guest’s credit card on pick-up, but rather the
amount is ‘held’ in the form of an authorization; Upon return, if the
rental vehicle is clean inside, undamaged, returned on time, and any
fines are paid, no charges will be deducted from the credit card hold.
Credit Cards:
VISA, Mastercard, American Express cards are accepted. No pre-paid credit cards are accepted.
Additional Customer Deposit after an Accident:
In the event of an accident, before a replacement unit is provided to a
guest, we require an additional charge of US $2,000 to be made on the
guest’s credit card, regardless of whether the guest is at fault or not. This
amount will be refunded at drop-off (minus any fees/charges) provided
there are no further damages to the vehicle.
Event Surcharges:
Mandatory Fee: USD $1,000 per booking for attending the Burning Man Festival,
this must be disclosed at time of booking.
The surcharge of USD $1,000 will be automatically charged to any booking that
our geo tracking picks up in this area. thl reserves the right to alter or
change the list of events affected by the surcharge.
Guests who take vehicles to events must request permission at the time of
reservation.
An Event Surcharge of USD $1,000 applies for Pick Ups in LAS, LAL or
SFL between 25 Aug 2026 and 3 Sep 2026
Additional Event surcharges may be imposed at our discretion during
other event periods. Any new charges will be communicated
separately and in a timely manner.
When attending the RAAM (Race Across America) event or Burning
Man Festival a USD $2,500 security deposit is charged (and not just
authorized)
Minimum Rental Periods:
7 night minimum rental time / 14 night minimum with all inclusive rate.
